Insurance Exclusions (regardless of option) shall deem any cover null and void. The client is fully responsible for any damages or claims to the SA4x4 vehicle or third-party vehicle if:
• Any terms or conditions of the rental agreement are breached.
• Driving under the influence of liquor, drugs or any item that disables you from driving properly.
• Use of the vehicle for illegal activity or driving in breach of any traffic laws or ordinances e.g.: excessive speed.
• Driving in a country which was not authorized by SA4x4.
• Any driver not recognized or recorded under the rental agreement, or pickup of hikers or passengers not recorded on the client information form.
• Driving at night. (Dusk to Dawn)
• Damage caused by careless, willful, or reckless driving.
• Incorrect use of 4×4 high / low range, diff locks and handbrakes.
• Driving on unrecognized/ restricted roads. This includes but is not limited to wet pans, dune driving, beach driving, unrecognized roads in/outside national parks and river crossings.
• The incorrect fuel is pumped into the vehicle tank. This will incur a ZAR 20 000 cost. Should this happen, the vehicle is to remain turned off and not started under any circumstances.
• Not adhering to the vehicle height restrictions- overhead clearance of 2.4m required.
• Water submersion (river crossing) or saltwater damage. Vehicles may not go through water.
• Any under carriage damage including but not limited to Side Shaft, Prop shaft, Diffs, Diesel Tank and Suspension blades.
• Roll-overs are not covered (All types of damage due to the vehicle not being on all 4 Wheels.)
• Loss or Damage to any Equipment including, but not limited to Rooftoptents, Fridge, GPS, Bedding and Kitchen.
Stop at a safe place. Pull as far as possible off from the road. Assess the problem. Then realise that some problems are minor and can be fixed by yourself.
- Call the 24 hour emergency number which are provided on the handover.
- We will assist you to solve the problem as quick as possible.
- Minor problems need to be fixed by yourself with our guidance, If you cant, we will assist you to go to your nearest repair centre.
- If car cannot drive, we will organize a tow- truck to take the vehicle to a repair centre to be fixed.
- Lastly, if vehicle cannot be repaired, we will replace the vehicle as per contract times and arrangements.’
- All accidents need to be reported to the nearest police station, and a CASE number must be obtained to claim from the insurance.
- ALWAYS assure the safety of the passengers first!
The Rental Process:
•The Quote – All-inclusive quote, no hidden cost, no surprise extras – Included: GPS, Fridge, Bedding, Kitchen, Unlimited Kms, 2nd Driver, 24 Hour Roadside assistance, 55l water, airport transfers – JNB.
•Confirmation – To confirm, please send us your completed booking form, passports of all passengers, drivers licenses of all drivers and signed rental agreement. – Terms and Conditions. Invoicing to follow receipt.
•Payment – 25% deposit required to secure the booking. 75% balance must be received 7 days before collecting the vehicle. SA4x4 Rentals accept EFT payments (all bank charges for the renters account) and Master/Visa/Diners card payments via a secure payment link. All card payments carry a 4% external card charge fee.
•Collection – Vehicle handover will take approximately 1 hour, depending on questions asked and client satisfaction. A thorough explanation and demonstration of the vehicle, equipment and documentation will be done with the client. Signing the pre-rental inspection is an acceptance of the condition of the vehicle and equipment including tyres and understanding of how the vehicle and equipment work. Insurance Pre-authorization block will be done on the client’s card at this stage according to insurance option opted for.
•Your rental – The Client acknowledge that he/she is responsible to look after and maintain the vehicle during use and to return the vehicle in good order. Keeping in mind that driving into the wilderness, the nearest town and/or assistance can often be a couple of hours away.
•Return – A SA4x4 Representative will welcome you back. A quick preliminary vehicle and equipment check will be done on return with the client to discuss possible damage and/or loss. At this stage we will appreciate quick feedback on your rental and trip. Although we request that the vehicle be returned with a full fuel tank, as a courtesy to the next client our representative will take the vehicle to the nearest fuel depot to ensure the vehicle is completely full. Top up amounts more than 3 liter will be deducted from the clients nominated card.
•Within 14 working days – After a good wash, test drive and thorough inspection of the vehicle and equipment, SA 4×4 will be in contact should there be any new chargeable damage. Quotes and invoice will be sent to you. The company reserves the right to charge a cleaning fee of ZAR 1500.00, should the vehicle return in an extremely dirty condition, or extremely scratched and in need of a machine polish. This is determined by the company where possible damage to the vehicle cannot be assessed properly on collection.
Client / Drivers:
•Client and all drivers to have a valid passport or identification, valid driver’s license (ENGLISH) from their country of origin, credit card (same name) for pre-authorizations and insurance excess and claims.
•The minimum age permitted to rent is 25 years.
•The Client must in general disclose their route as specific areas could influence vehicle preparation.
•SA4x4 must be notified within the first 24 hours of collection should the client experience any problems, malfunctions, or discomfort. No consideration will be given to claims against such experiences, no compensation for loss of time will be given if issues are only reported on the day of return.
•Daily routine checks should be done, oil, water, wheellocks etc. Listen to noises, rattles, or possible fluid leaks before departure each morning.
•The client is responsible for reporting any problems or avoiding any possible risk of damaging the vehicle. Extra care must be taken in rural areas where recoveries and emergency assistance are more difficult to reach.

d) No cover to vehicle recovery or Towing, within or outside South Africa borders, excludes wear and tear breakdowns. Towing or recovery rates: Within SA – ZAR 8.00p/km and Outside SA borders – ZAR 15.00p/km.
e) No Cover for under carriage damage including but not limited to Side Shaft, Prop shaft, Diffs, Diesel Tank and Suspension blades.
f) No cover to Mechanical components of the vehicle damaged due to negligent or abusive driving.
g) Water damage from submerging vehicles by exceeding wading depth is not covered.
h) Loss or Damage to any Equipment including, but not limited to Rooftop tents, Fridge, GPS, Bedding and Kitchen.
i) Any of the following will have an excess responsibility of ZAR 60 000,00.
• Roll-overs (All types of damages due to the vehicle not being on all 4 Wheels.
• Write-off (Uneconomical to repair)
• Damages caused by accidents with animals or accidents at night (between dusk and dawn).
2. CDW Liability Cover:
a) NO/ZERO excess cover in the event of accidents and/or damage.
b) Full comprehensive cover at an additional ZAR 380.00 per day.
c) CDW insurance is only applicable for rentals 12 days or longer.
d) A security deposit of ZAR 3000.00 is pre-authorized on the client’s card at the time of collection. This is to cover damaged/loss equipment and fuel shortages.
e) Full cover to Windscreen, Tyre and Rim damages – see Tyre and Windscreen Policy.
f) Full cover to vehicle recovery or Towing, within the borders of South Africa.
g) No cover outside South Africa borders, excludes wear and tear breakdowns. Towing or recovery rates: Outside SA borders – ZAR 15.00p/km.
h) No Cover for under carriage damage including but not limited to Side Shaft, Prop shaft, Diffs, Diesel Tank and Suspension blades.
i) No cover to Mechanical components of the vehicle damaged due to negligent or abusive driving.
j) Water damage from submerging vehicles by exceeding wading depth is not covered.

Tyre and Windscreen Policy:
The Client is responsible for punctured tyres or repairing tyres during the rental. The driver should keep to the speed limits and designated roads to avoid unnecessary tyre repairs. For the safety of our clients, SA4x4 recommend a maximum speed of 100km/h on tarred roads and maximum speed of 60km/h on gravel roads and 30km/h in national parks and game reserves due to heavy loaded vehicles and unfamiliar conditions.
• STANDARD liability cover does not include repair to or replacement of rims, tyres and windscreens. When replacing a tyre, please ensure that it is a new tyre of the same brand, size and that it has a ply rating of 4mm or more. Reconditioned, second-hand or re-treaded tyres are NOT acceptable. SA4x4 will charge the cost of a NEW tyre, on the renter’s card, if the vehicle is returned with different brand/size tyres on the vehicle. Windscreens replacements will be needed for stone chips larger than 2mm and on any crack regardless of size.
• CDW insurance option waive the responsibility of replacing the damaged tyre. This option covers 2 tyres only and will be refunded to the client in full. Any tyre repairs or replacements after this are for the renter’s account. When replacing a tyre, please ensure that it is a new tyre of the same brand, size and that it has a ply rating of 4mm or more. Reconditioned, second-hand or re-treaded tyres are NOT acceptable. SA4x4 will charge the cost of a NEW tyre, on the renter’s card, if the vehicle is returned with different brand/size tyres on the vehicle. One (1) windscreen are covered on the CDW, replacements will be needed for stone chips larger than 2mm and on any crack regardless of size.
Your 4×4 Rental:
• Rental fee is calculated on a daily calendar rate. Collection and Return date are counted.
• SA4x4 Rentals reserves the right to change the minimum rental period when high kilometer risks are involved.
• Minimum rental period:
o 3 (three) days from Johannesburg to Johannesburg.
o 7 (seven) Days inside the SA borders.
o 14 (fourteen) Days outside the borders of South Africa.
• Vehicle should be returned on the date and time and at the location arranged and authorized by SA4x4. Returns at any other location other than arranged will have a ZAR 15/km collection rate. No refunds applicable for early returns.
• Office hours:
o Monday to Friday – 8h00-16h00 (last handover at 16h00, last return at 16h00)
o Saturday – 8h00-14h00 (last handover at 13h00, last return at 13h00)
• After-hours collection and returns on Saturdays, Sundays, and Public Holidays until 16h00 at an additional ZAR 500.00 fee.
• Vehicle returns after the agreed date or outside normal office hours (without arrangement) will be charged a full rental day.
• SA4x4 Rentals are closed on 25 December- Christmas day. No collection or returns to be scheduled.
Cancellation Policy:
• 25% non-refundable deposit to secure the booking. (Can be used as credit to future bookings)
• 50% cancellation fee on the full rental amount 30 – 60 days before rental.
• 100% cancellation fee on the full rental amount less than 30 days before rental.
• Normal cancellation policy applies in the event of Force Majeure – circumstances beyond the control of SA4x4 or the client, such as, but not limited to pandemic, strike, riot, war, crime, fire, or Act of God such as flood, earthquake or storms. An act of the Government which prevents one or both parties from fulfilling their obligations in terms of this agreement.

Damages, Accidents and Repairs:
• All our vehicles are serviced in accordance with the manufacturer’s specifications. We also do additional services and preventative maintenance to enhance the reliability of our vehicles. Wear and tear parts are covered by the company, as per the manufacturers list, and will be refunded in full to the client.
• The company is not liable for any damage or cost to repairs caused by reckless driving, negligence, abuse, bad driver habits or use of the vehicle in extreme conditions.
• All vehicles are late models with full-service history but should minor repairs be required due to the nature of the terrain; the Client is permitted to make minor repairs up to the value of ZAR 1000 without prior authorization. Such repairs will be reimbursed within 14 working days, on the submission of original receipts or invoices on collection.
• Amounts above ZAR1000 will require written/ telephonic approval from our 24-hour help line number. Authorized amounts will be reimbursed within 14 working days, on the submission of original receipts or invoices on collection.
• No authorization = No refund.
• Call out fees for tyre replacements must be authorized.
• Single vehicle accidents are covered according to insurance option, except in the case of Roll- overs, Write-offs, Accidents at night or accidents with animals. SA4x4 will assist with the possibility of a new rental agreement for a substitute vehicle.
• Clients must assist by making the vehicle available for repairs and taking the vehicle in for repairs whilst on
their trip. We use workshops across Africa, and they cannot go out to your camp site or meet you in the parking area at the shopping Centre.
• Time loss, inconvenience caused, alternative accommodation costs incurred due to mechanical failure are not covered by SA4x4. Your Travel Insurance should cover this.
• There is no third-party insurance outside the borders of South Africa. Third party insurance is compulsory and must be purchased at the point of entry to each country.
• All accidents must be reported to SA4x4 on the 24hr Emergency number and by law, to the local police. To
register the accident, an AR (accident report) number from the police must be obtained at the time of reporting the incident. Failing to report accidents may void all liability cover and the client becomes fully liable for all costs.
• Clients are required to assist SA4x4 with the claim /repair /reporting processes. Failure to assist will result in claims needing to be settled by the client in full. Please take photographs of the accident at all angles, and make sure to get third party details when applicable.
• The client is responsible for any damage or accidents that SA4x4 has not been made aware of on the return of the vehicle. Applicable charges will be charged to the client’s nominated card.
Replacement of Vehicle:
• Clients are responsible for the recovery of damaged vehicles to the SA4x4 branch in Johannesburg, depending on the insurance option opted for. A replacement vehicle will be given once full payment for damage/ recovery are paid. SA4x4 has the right to decline a replacement vehicle without any further claims from the client against SA4x4 Rentals.
• If SA4x4 denies a replacement vehicle, no refunds for early termination of the contract will be considered.
• We only replace a vehicle when repairs cannot be done and is not able to drive any further.
• Due to the vastness of Southern Africa, we cannot provide immediate recoveries or mechanical assistance. We rely on local resources and will do our outmost best to ensure you get back on your trip as quickly as possible.
• We endeavor to replace a vehicle that cannot be repaired within:
o 48 hours in South Africa / Lesotho / Swaziland / Southern Namibia / Botswana / Southern Mozambique.
o 72 hours in Southern Zambia / Northern Namibia/ Zimbabwe/ Southern Mozambique and remote Botswana.
o 96 hours in Northern Zambia / Northern Mozambique/ and Malawi.
o These time frames exclude Public Holidays and weekends.
• Replacement vehicle will NOT be provided in the following circumstances:
o Damage or breakdowns caused by excessive speeds, reckless driving, negligence, abuse and bad driver habits.
o Use of the vehicle in extreme conditions.
o Roll- overs, Write-offs, Accidents at night or accidents with animals.
General:
• For reasons beyond our control that a reserved vehicle becomes unavailable, SA4x4 reserves the right to substitute the vehicle. This shall not constitute a breach of contract or entitle the client to a refund. Should we not be able to replace the vehicle the rental contract terminates with no further liability incurred by SA4x4. The deposit/ amount will be refunded in full.
• SA 4×4 cannot be held liable for 3rd party nonperformance. (accommodation / camp sites, activity providers). This includes but is not limited to border crossings / officials and traffic officers.
• Clients acknowledge that due to the nature of these adventure rentals there may be items that stop working while out on your rental. This can include zippers of your tent, your fridge, a light on your vehicle. The fact that these items stop working on your rental does not warrant a refund.
• You will encounter dust in the African bush. Dust will enter your vehicle/s. No early returns or refunds for
inconvenience caused by dust.
• All relevant documentation (permission letters, cross-border documents) is handed to you on collection of the vehicle. Should you request a reissue of these documents a fee of ZAR 750.00 is applicable. These documents need to be returned at the end of the rental.
• SA4x4 Provide cross-border documents for the countries arranged and stipulated on the booking form. SA4x4 are not liable for any payments or arrangements of Visas, permits, road tax, police clearance or third-party insurances. All crossborder documents must be handed in on the return of the vehicle for us to move the vehicle through borders. The cost of reapplying for documents will be passed on to the client. E.g., TIP (Temporary Import Permits)
• Costs for the repair / assistance when a client runs out of fuel /lose the vehicle keys or locked inside the vehicle are for the client’s account.
• All pictures, illustrations and text are representations only. Variances could occur.
• All disputes are settled under the jurisdiction of a Magistrates Court in South Africa.
• Clients keeps indemnified and holds South Africa 4×4 Rentals (Pty) LTD or any director, employee, or appointed agents harmless against all loss, damage or claim of whatsoever nature or form.
• The client is liable for any fines or penalties during the rental period and will be notified of such claims.
• If SA4x4 incurs expenses in recovering any monies due by the client/driver for any claim/ damages, the client will be liable for any cost and expenses incurred in doing so, on the attorney and client scale, including but not limited to lawyer fees, collection, and tracing fees.
• The client hereby consents and authorizes SA4x4 to undertake any Identity, Credit and/ or criminal record checks to confirm the details of the client should the need arise.
Cancellation Policy:
